CRICOS

The extra details international students need, from passport and visa to welfare, health cover, English and previous study.

CRICOS is the register for courses offered to international students in Australia. The CRICOS tab collects the details an international student's application needs. The tab only appears for international students. For domestic students it's hidden, and the wizard skips straight from AVETMISS to Additional Info.

Most of this tab is self-explanatory: copy the details from the student's passport, visa and documents. The notes below cover the few places that behave in a particular way.

International student status

The first card shows the student's status, International, as a badge.

You can't change it here. It comes from the Domestic / International choice at the top of Personal Details, which also locks the student's citizenship status on the AVETMISS tab. To change it, go back to Personal Details and change the student type. If you change it to Domestic, this whole tab disappears.

Passport Information

Passport numberRequired when the student's street address is in Australia, which is the case for onshore students. It must be 6 to 12 letters or digits.
Passport issue date, Passport expiry dateAs shown on the passport.
Place of birthAs shown on the passport.
Country of citizenshipRequired. It can't be Australia; if you choose Australia, XPortal clears it. An Australian citizen isn't an international student.

Visa Information

Tick Holds Australian visa if the student already has one. Then fill in:

Under 18 Welfare Arrangements

Tick Is student under 18 years at course commencement? if the student will be under 18 on their first day. The law requires extra care arrangements for students that young, so more questions appear:

Provider accepting responsibility for welfare arrangements?

  • Yes (CAAW): your organisation takes responsibility for the student's accommodation, support and welfare. Enter the Nominated welfare start date.
  • No: a parent or guardian is responsible. Enter the guardian's name, relationship to the student, phone and email. All four are required.

Overseas Student Health Cover (OSHC)

International students must have health cover while in Australia. Tick Provider Arranged OSHC? if your organisation is arranging it, then fill in:

All three are required once the box is ticked. Leave it unticked if the student is arranging their own cover.

English Language Proficiency

Tick Has student undertaken English language test? if they have, then fill in:

Previous Study in Australia

Tick Has student previously studied in Australia? if they have, then answer:

Previous Provider NameThe university or RTO they studied with. Required.
Did student complete previous course?Yes or No. Required.
Does student have release letter?Yes or No. Required. A release letter is the previous provider's permission for the student to leave their course early.

This is especially important for Transfer students, who are moving to you from another provider. Record who they're transferring from and whether they have a release letter.

CRICOS checklist

  • The passport number is filled in for onshore students.
  • Country of citizenship is set, and isn't Australia.
  • Visa details are complete if the student holds a visa.
  • For students under 18, welfare arrangements are recorded: either a welfare start date, or full guardian details.
  • OSHC, English test and previous study are filled in wherever they apply.
