Choose the right financial area

Record financial activity
Before creating or allocating a transaction, confirm the student, invoice, amount, date, method, and organisation. Add a useful note when the transaction needs context for another staff member.
Payments may use methods such as card, cash, bank transfer, direct debit, Stripe, or another approved method. Select the method that reflects how the money was actually received.
Reconcile and export
Use filters and visible columns to prepare the right financial view. Confirm totals and selected rows before exporting payment confirmations or other records.
Where Xero integration is enabled, review the sync status and resolve rejected or failed items according to your finance process. Do not repeatedly recreate a transaction to work around a sync error.
Maintain templates carefully
Templates make repeated work consistent, but changes can affect future invoices or payment plans. Use clear names, confirm amounts and mappings, and review the result before making a template part of normal operations.
Financial changes need a clear trail
Correct mistakes using your organisation's approved adjustment, reversal, or credit process. Avoid overwriting history in a way that hides what happened.
