Academic planning
Coordinate programs, subjects, deliveries, groups, classes, trainers, and assessments.
Academic records build on one another. Set up the reusable course structure first, then schedule delivery and assessment.
Understand the planning layers
| Area | Purpose |
|---|---|
| Programs | The courses or qualifications offered by the organisation, with their required subjects and order in Academic Rules |
| Subjects | The units delivered within programs |
| Subject deliveries | When and where each subject runs: one run at one campus between two dates |
| Groups and classes | Who studies together, and the sessions each group attends within a delivery |
| Assessments | Assessment activities and their progress |
How these fit together to plan students, from a program's first subject to a student's weekly classes, is explained in Rolling intakes.
Recommended setup order
- Confirm the required Locations exist, with their classrooms.
- Create or review the Program, including its total duration in weeks.
- Create the required Subjects.
- Build the program's Academic Rules: its required subjects, their order, and any prerequisites.
- Add subject deliveries at each campus, well ahead of time.
- Create the Groups students will study in, then add classes to each delivery for those groups.
- Assign trainers to their groups and confirm assessment requirements before delivery begins.
Changing a shared program or subject can affect future planning. Review where it is already used before editing it.
Monitor assessments
The Assessments area helps teams follow work through stages such as not started, in progress, submitted, marking in progress, resubmission required, satisfactory, not satisfactory, or did not submit.
Record the status that matches the evidence available. Assessment outcomes can affect student progress and reporting, so follow your organisation's academic and moderation procedures.
