Payment plans and student invoicing for RTOs

XPortal turns a payment plan and one start date into a student’s full schedule of invoices, sends each one on its date, and collects by card or direct debit through Stripe when it falls due.

How payment plans work. A plan plus one date makes every invoice.

  1. A template for each program

    A payment plan template belongs to a program and lists its instalments. Mark one as the default and new applications for that program start with it.

  2. One date sets every due date

    A plan holds offsets, not dates: the first instalment on the starting day, the next 30 days later. Give XPortal the student’s starting date and every instalment gets a real due date.

  3. Invoices issued on their dates

    Each invoice is sent a set number of days before or after its due date, to the day, without anyone raising it by hand.

  4. Lines that carry their accounting codes

    An instalment is made of lines, such as a tuition fee and a materials fee, each with its own Xero account code, item code and tax type.

  5. Deposits before enrolment

    Mark an instalment as a deposit and its invoice is raised when the application is submitted. The applicant can pay before they are a student, and the invoice and payment move to their enrolment on approval.

  6. Cards and direct debits, collected on the day

    Students pay by card or direct debit through Stripe. A saved payment method is charged automatically when an invoice falls due.

  7. A custom plan when one student needs it

    Copy a template’s amounts, due dates and lines into a custom plan for one application, then adjust them.

  8. One ledger for the lot

    Deposits, credit notes and agent commissions are reconciled in one ledger, and workflows chase overdue invoices on their own.

Can one student have a different plan?

Yes. Copy a template into a custom plan for that application, then change its amounts, due dates or lines.

Can applicants pay a deposit before they are enrolled?

Yes. Deposit invoices are raised when the application is submitted, and move to the student’s enrolment when it is approved.

Do invoices go to our accounting system?

Yes. Invoices sync to Xero as you work, and payments and credit notes sync once your team confirms them.

How are agent commissions worked out?

From the student’s payment plan, on the lines you mark as commissionable.
